Terms of Service

ApproveThat lets teams send documents and other work to named people for approval and keeps a timestamped audit trail of each decision. Approval recipients can respond from a private link without creating an account.

You must be at least 18 and provide accurate information. You are responsible for keeping your login secure and for all activity in your account. Workspace Owners and Admins control who joins their workspace and what role each person has.

Paid plans are billed monthly in advance through Stripe and renew automatically until cancelled. You can cancel any time from Billing settings; cancellation takes effect at the end of the current billing period. Except where required by law, payments are non-refundable. We may change prices with at least 30 days’ notice by email.

You keep ownership of the files, notes and other content you upload. You give us permission to store, process and display that content only as needed to run the service, such as showing a file to the recipient you chose. You confirm you have the right to share any content you send for approval.

You are responsible for sending requests only to people who expect to hear from you and for the accuracy of the email addresses and mobile numbers you enter. Anyone who has a review link can view and respond to that request, so share links only with the intended recipient.

The audit trail records what happened in ApproveThat. Whether an approval is legally binding for your purpose is your responsibility; ApproveThat is not a substitute for legal advice or for a qualified electronic signature where one is required.

If a team adds your mobile number to a request, you may receive a one-time text message with a link to review it. Message and data rates may apply. Reply STOP to opt out or HELP for help. Carriers are not liable for delayed or undelivered messages. See our Privacy Policy for how we handle phone numbers.

You agree not to:

• send spam, unsolicited messages, or content that is unlawful, harmful or infringes someone else’s rights;
• upload malware or attempt to break, overload or gain unauthorised access to the service;
• use ApproveThat to impersonate someone or to mislead recipients;
• resell or copy the service without our written permission.

We may suspend or close accounts that break these rules.

We work to keep ApproveThat available and secure, but the service is provided “as is” and “as available” without warranties of any kind. We may improve, change or discontinue features over time.

To the fullest extent allowed by law, ApproveThat will not be liable for any indirect, incidental, special or consequential damages, or for lost profits, data or business. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim.

You can stop using ApproveThat and close your account at any time. We may suspend or end access if you breach these terms or if required by law. Sections that by their nature should survive termination, such as ownership, liability limits and governing law, continue to apply.

These terms are governed by the laws of the United States and the state in which ApproveThat is registered, without regard to conflict-of-law rules.

We may update these terms. If a change is material we will update the effective date above and notify account holders by email. Continued use after a change takes effect means you accept the updated terms.
